Job Description
We are looking for a talented Assistant Regional Patient Coordinator to join our team! This is a great opportunity for someone who has worked at a front desk and is looking to take the next step in their career. In this role, you will be responsible for training and onboarding front desk teammates, providing coverage, and assist with general patient coordinator tasks like scheduling, insurance verification, and authorization/precertification in an outpatient therapy setting. The ideal candidate will not only ensure a positive experience for patients, providers, and fellow teammates but will also minimize the risk of lost revenue and contribute to faster and more efficient reimbursement.
Responsibilities


  • Travel to nearby locations to assist with coverage
  • Conduct/facilitate training and onboarding for new front office team members as well as ongoing training and education for established team members
  • Provide/organize coverage for clinics in the Region as needed
  • Assist Regional Patient Coordinator with conducting quarterly clinic audits
  • Identify and troubleshoot clinic process issues and apply critical thinking to establish efficient workflows in collaboration with Regional Patient Coordinator
  • Ensure appointment and scheduling practices are followed properly and courteously
  • Schedule, greet and escort patients and visitors to the appropriate areas of the clinic
  • Oversee incoming phone calls and clinic visitors to ensure accurate, timely, and positive communication, facilitation, and presentation
  • Demonstrate regard for the dignity and respect of all patients, family members, staff, and visitors
  • Respect and understand the patient's right to treatment and involvement in treatment decisions
  • Maintain proper, courteous, and helpful telephone etiquette
  • Maintain professional attire and neat appearance at all times
  • Perform daily walkthrough of clinic to maintain "Clean Audit" policies and procedures
  • Confirm and explain patient financial responsibility to the patient and/or family
  • Adhere to all HIPAA regulations regarding patient confidentiality and recordkeeping
  • Manage upfront patient collections (copays, coinsurance, and deductible) and document patient responsibility accordingly
  • Ensure and approve accurate daily receipt reconciliation and preparation for banking purposes
  • Deposit receipts at the designated bank
  • Coordinate and maintain patient extended authorizations and updated prescriptions to ensure proper treatment and billing procedures
  • Maintain appropriate records, filing, and archive system for expeditious information retrieval
  • Coordinate proper ordering of clinical supplies, office supplies, and other needed materials

    Qualifications:

    • Proven exceptional customer service and patient care experience
    • Self-motivated and can work autonomously
    • Ability to work in a fast-paced environment while maintaining a positive attitude
    • Willingness to travel with a reliable mode of transportation
    • Effective written and verbal communication skills
    • Demonstrates critical thinking and problem-solving skills
    • Ability to lead by example and inspire others to perform at their highest level
    • 3-5 years administrative/office experience in a medical field preferred
    • Demonstrates flexibility in responding to priorities and organizational change
    • Ability to work under pressure and follow through on assignments
    • 2-3 years previous experience in pre-auth verification; experience with obtaining authorizations, referral coordination and patient services preferred
    • Ability to multi-task and prioritize needs to meet required timelines
    • Prior experience working with Medicare, Medicaid, other government payers, and commercial insurance in the therapy arena preferred
    • Strong data entry skills and ability to type with speed and accuracy; strong computer and software skills
    • Ability to use standard office equipment to include copiers, fax machines, and other methods of electronic communications
