Job Summary :The Senior Administrative Assistant will provide support to the Distribution Center senior leadership, including managing very active calendars and travel. The Senior Administrative Assistant is highly professional, energetic, collaborative administrative support with experience handling highly confidential information.Job Description :The Senior Administrative Assistant will provide support to the Distribution Center senior leadership, including managing very active calendars and travel. Essential Duties and Responsibilities

  • Manage and maintain files and confidential documents
  • Prepare correspondence and documentation for senior leader signatures
  • Assist with phone and email communication on behalf of senior DC leaders
  • Schedule travel for leadership team
  • Manage calendars by scheduling meetings and other items of this nature
  • Order departmental supplies and coordinate events
  • Prepare regular and special budget reports, to include weekly and month-end reports
  • Oversee the spending of operational expenses; monitor and control resources
  • Assess any budget adjustments
  • Provide advice and technical assistance with cost analysis, fiscal allocation and budget preparation
  • Analyze, prepare and summarize budget submissions to ensure accurate financial reporting
  • Collaborate with procurement to negotiate supplier rates and charges
  • Manage supplier and vendor relationships to ensure optimal business continuity
  • Prepare, maintain and, where applicable, analyze presentations, spreadsheets, documents, Access database extracts, Visio organizational charts and other supply chain documentation
  • Additional duties as assigned by manager Scope
    • Supervises staff - no
    • Financial Scope - Budgeting, balancing and reconciliation
    • Organizational Scope - Interact and partner with leaders and associates across the company
    • Decision Making - Limited in scope to specific work responsibilities
    • Travel - Less than 5%Requirements :Job Qualifications - Education and/or Experience
      • 7+ years' experience as administrative assistant/executive assistant
      • High School Diploma
      • Bachelor's Degree preferred, but not required
      • Past experience working in a large organization with more than 10,000 employees
      • MS Office proficient: Word, Excel, PowerPoint, Outlook and Visio
      • Internet research knowledge
      • Works well in team environment
      • HR experience helpful, but not required
      • Detail-oriented with strong analytical skills, self-motivated, excellent written and verbal communication skills
      • Ability to work in a fast-paced environment with minimal on-site supervision
      • Strong time management skills in order to manage and execute multiple tasks/projects
      • Strong problem-solving skills and resourcefulness
      • Experience supporting a senior leadership team is a Distribution Center environment highly preferred. Physical Requirements General office environment requiring ability to:
        • stand, walk, sit for extended periods of time
        • speak and listen to others in person and over the phone
        • use keyboard and read from computer screen and reports
        • lift up to 15 lbs.
