Building Automation (BAS) Administrative Assistant

Job Description:

Job Description As BAS Administrative assistant, you will be working closely with our Building Automations (BAS) team to ensure timely and complete execution of day-to-day department activities including service calls and projects and timely submittal of documentation. Key Responsibilities: Review and submit payroll to branch manager for final approval Open and manage Service Calls for the BAS team Partner with Service Manager to dispatch calls Order parts as need Process purchase orders and billing of invoices Enter new jobs into system Create customer invoices Close out projects on a monthly bases Maintain project files with appropriate supporting documents Assist with Sketchup floor plan drawings as needed Assist with writing project proposals and track project budgets Coordinate with vendors, subcontractors, and government municipalities to obtain applicable permits and ensure project completion. Work with internal departments to schedule field personnel Manage changes to the project scope, schedule and project costs using the appropriate verification techniques. Develop reports to track project performance Skills/Experience Required: 3-5 years of previous administrative experience, High School diploma or general education degree (GED) Previous BAS Industry experience a plus Ability to professionally communicate with internal and external customers both verbally and in writing Proficient typing skills High comfort level on use of the Microsoft Suite of products (Outlook, Word, and Excel) High degree of time management and organization
